Repairs Coordinator – Job Description
The Repairs Coordinator is primarily responsible for coordinating repair services for client properties. This role involves dispatching vendors, communicating with clients, preparing and evaluating bids, monitoring work quality through photo inspections, and ensuring timely and successful job completion in accordance with client standards.
This position also includes sourcing new vendors, monitoring the performance and quality of existing vendors, and negotiating timelines and pricing. The coordinator serves as a central point of communication between clients, brokers, agents, HOAs, and vendors. Strong communication skills, attention to detail, and a sense of urgency are essential for success in this role.
Essential Job Functions
- Respond to client inquiries regarding services, billing, timelines, and resolve issues as needed
- Communicate with a national vendor network to gather property details and define repair scopes
- Manage client and vendor interactions within assigned territories
- Improve customer satisfaction by meeting timeline and quality expectations
- Utilize internal systems and Microsoft Office tools to manage workload
- Maintain professional and courteous communication with clients
- Track, update, and manage reports to ensure deadlines are met
- Create, negotiate, and evaluate repair bids
- Update client systems of record accurately and consistently
- Coordinate with insurance carriers and adjusters, review claims and EOB (Explanation of Benefits), and oversee completion of covered repairs
- Maintain knowledge of company services and processes
- Perform additional duties as assigned
Key Qualifications
- Working knowledge of residential construction processes and terminology
- Experience with industry-standard estimating or property management software (e.g., RepairBASE, XactPRM preferred)
- Experience with property condition reporting (P260 experience a plus)
- Strong written and verbal communication skills
- Professional demeanor and customer-focused mindset
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Ability to quickly learn proprietary systems
- Strong organizational and time management skills
- Ability to prioritize and manage a high-volume workload
- Effective negotiation and problem-solving skills
- Must be at least 18 years of age
