Education Coordinator
Pay rate-$18.00 - $20.00 per hour, paid weekly
Mon- Fri 8:30AM - 5:00PM
Position Summary
The Educational Coordinator serves as a key administrative and operational leader supporting experiential education programs within a higher education environment. This role coordinates student placements, clinical rotation scheduling, preceptor engagement, compliance tracking, academic assessment processes, and program operations. The Educational Coordinator acts as the primary liaison between students, faculty, clinical partners, and affiliated organizations to ensure the successful delivery of experiential learning experiences while maintaining compliance with accreditation standards, institutional policies, FERPA, and HIPAA requirements.
Key Responsibilities
Program Coordination & Student Support
- Coordinate and manage experiential education activities, serving as the primary point of contact for students, faculty, preceptors, and affiliated clinical sites.
- Administer experiential learning management systems and oversee the scheduling and coordination of more than 1,000 student rotations across 450+ clinical sites throughout Florida and nationwide.
- Facilitate student onboarding and compliance requirements, including background screenings, drug testing, immunization records, and site-specific documentation.
- Monitor student competency assessments, evaluations, and academic performance while coordinating grade reporting and documentation with institutional departments.
- Maintain accurate student records and ensure confidentiality in accordance with FERPA, HIPAA, and organizational policies.
Clinical Site & Preceptor Relations
- Develop and maintain strong relationships with experiential education sites, healthcare partners, and preceptors.
- Support the expansion of experiential learning opportunities through the development of new clinical sites and affiliation agreements.
- Coordinate preceptor onboarding, training initiatives, and ongoing communication to ensure high-quality educational experiences.
- Serve as the primary liaison between faculty, students, and external clinical partners to resolve issues and support program success.
Administrative Operations
- Process and maintain affiliation agreements, contracts, and program documentation.
- Coordinate quarterly stipend and payment disbursements to preceptors and experiential education partners.
- Prepare reports, track program metrics, and analyze operational data to support strategic planning and continuous program improvement.
- Assist with accreditation-related activities, audits, and compliance reporting.
- Support departmental initiatives and special projects as assigned to ensure efficient and effective program operations.
Qualifications
Required Skills & Competencies
- Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and database management systems.
- Excellent organizational, planning, and project coordination skills with exceptional attention to detail.
- Strong written and verbal communication abilities, including professional correspondence, report preparation, proofreading, and documentation management.
- Ability to manage multiple priorities and deadlines in a fast-paced academic or healthcare environment.
- Demonstrated ability to exercise discretion and maintain confidentiality with sensitive information.
- Strong interpersonal skills with the ability to collaborate effectively with students, faculty, healthcare professionals, and external partners.
- Self-motivated with the ability to work independently while contributing positively to a team environment.
- Accurate data entry and record management skills.
Preferred Qualifications
- High School Diploma required; Associate's or Bachelor's degree preferred.
- Three to five years of experience in higher education, healthcare administration, academic program coordination, or a related professional environment.
- Experience supporting experiential education, student services, academic affairs, healthcare programs, or clinical education initiatives preferred.
- Familiarity with accreditation standards, academic compliance requirements, and educational management systems is highly desirable.
Work Environment
This position operates primarily within a professional office environment with occasional participation in community outreach and external partnership activities. The Educational Coordinator must maintain a high standard of professionalism, confidentiality, customer service, and collaboration while supporting institutional goals and student success initiatives.
