Experiential Education Coordinator
Pay- $20.00 per hour
Hours- Monday to Friday 8:00am-4:30pm
Job Summary
We are seeking a highly organized and detail-oriented Experiential Education Coordinator to serve as the primary point of contact for students, faculty, preceptors, and experiential education sites. This position plays a critical role in supporting the administration, coordination, and daily operations of an Experiential Education Program, ensuring effective scheduling, compliance, communication, and program support.
Key Responsibilities
- Administer and maintain the PharmAcademic™ experiential rotation management system.
- Coordinate and schedule over 1,000 student rotations across 450+ experiential education sites throughout Florida and nationwide.
- Facilitate the development of new experiential education sites, process affiliation agreements, coordinate preceptor training, and ensure student compliance with site requirements.
- Manage student competency assessments and grading tools, monitor student evaluations, and coordinate reporting activities.
- Maintain confidentiality of student and patient information in accordance with FERPA, HIPAA, and applicable regulations.
- Process quarterly disbursements for preceptors and experiential education sites.
- Analyze program needs and provide recommendations to support strategic planning initiatives and program improvements.
- Support accreditation-related activities and maintain knowledge of experiential education program standards and requirements.
- Coordinate student rotation requirements, including background checks, drug screenings, immunizations, and compliance documentation.
- Serve as the primary liaison between students, faculty, preceptors, and experiential education sites.
- Communicate effectively with affiliated organizations, consultants, vendors, and external partners.
- Assist with administrative projects and perform additional duties as assigned to support departmental operations.
Qualifications

- Strong computer proficiency, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Accurate data entry skills and strong attention to detail.

- Experience using office equipment such as copiers, scanners, and multifunction devices.
- Ability to build positive working relationships with students, faculty, staff, and external partners.
- Typing speed of at least 65 WPM preferred.
- Ability to work in a fast-paced environment requiring adaptability and attention to detail.
Minimum Qualifications
- High School Diploma or equivalent required.
- Three (3) to five (5) years of administrative, educational, healthcare, or business-related experience preferred.
- Experience in higher education, healthcare administration, academic affairs, student services, or program coordination is highly desirable.
- Proficiency in Microsoft Word, Excel, and internet-based systems.
Physical Requirements
- Ability to sit, stand, walk, reach, and use hands for extended periods.
- Ability to occasionally lift and/or move up to 25 pounds.
- Ability to perform work requiring close attention to detail and extended computer use.
Work Environment
- Primarily office-based with occasional participation in community outreach or off-site activities.
- Collaborative and professional work environment.
- Noise level is generally low to moderate.
